St Mungo’s Event Fundraising Terms & Conditions

Purpose. These Terms & Conditions (“Terms”) apply to supporters (“you”, “participant”) who take part in third-party running and challenge events to raise funds in aid of St Mungo’s (reg charity number 1149085). They are designed to keep you, the public, and St Mungo’s safe and compliant. 

By registering for a St Mungo’s Event, you are agreeing to the below terms and conditions. 

  1. If you are taking part in an activity organised by external event organisers: By fundraising for St Mungo’s, you also agree to comply with the event organiser’s own terms, conditions and deadlines. Failure to complete the event organiser’s registration in time can lead to the loss of your place and your St Mungo’s registration fee remains nonrefundable.  
  2. If you receive a St Mungo’s charity place, you pledge to raise at least the minimum sponsorship for that event (excluding Gift Aid and registration fees). If you have your own place, there is no minimum pledge, but you agree to raise what you can.  
  3. Entry to the Event is subject to the payment of the notified fee (and any applicable VAT) payable to St Mungo’s prior to participation in the event. 
  4. Any St Mungo’s registration fee (where applicable) is nonrefundable and nontransferable and does not count towards your fundraising target.  
  5. You must meet the event organiser’s minimum age (where applicable) and confirm that, to the best of your knowledge, you are fit to participate; you take part at your own risk.  
  6. If you have a medical condition or are unsure of your physical ability to take part in the event, you must seek medical advice from a general practitioner prior to participating in the event. 
  7. St Mungo’s may prevent any Participant from taking part in the Event (either at the start of or during the Event) if St Mungo’s, the external event provider or any medical representative considers that a Participant should not participate in the Event for health and/or medical reasons.  
  1. As an independent supporter, you are fundraising in aid of St Mungo’s (you do not represent the charity). You must not do anything that could bring the charity into disrepute. 
  2. You agree to fundraise legally and safely, following relevant guidance (e.g., local licences for collections/raffles, H&S risk assessments, and the Fundraising Regulator’s Code of Fundraising Practice).
  3. You are responsible for obtaining any licences required (street collections, raffles/lotteries, alcohol/entertainment) and for ensuring suitable insurance where needed. St Mungo’s insurance does not cover your independent event.  
  4. Before using our name or logo or producing your own branded materials, a written request must be submitted a minimum of 5 working days of required usage. St Mungo’s will require a minimum of 5 working days to respond. Please contact events@mungos.org  
  5. For any independent fundraising events that you carry out to raise funds (for example a cake sale or pub quiz), you acknowledge that you are carrying such events out in your own capacity. It’s your responsibility to organise all aspects of such event and make it clear that such event is run by you ‘in aid of’ St Mungo’s and is not run by St Mungo’s. You also agree to make it clear that such event is not ‘on behalf of St Mungo’s’ and that St Mungo’s will not accept any responsibility or liability for such event.  
  6. You commit to return any unused St Mungo’s fundraising materials, including sponsorship forms, to St Mungo’s on completion of your fundraising activities. 
  7. If you collect personal data (e.g., sponsors’ details), you must handle it in line with data protection law and only for lawful, stated purposes.  
  8. Gift Aid is a valuable bonus for the charity but does not count toward minimum fundraising targets or milestone checks.  
  9. By accepting a St Mungo’s charity place, you agree to raise at least the event’s minimum sponsorship (excluding registration fee and Gift Aid). Charity place participants may have their place withdrawn for failure to engage with registration or fundraising obligations.  
  10. You acknowledge that failure to respond to communications from St Mungo’s Community & Events team about completing your registration or fundraising may put your event place at risk. 
  11. St Mungo’s uses reasonable fundraising checkpoints to ensure places are actively stewarded. St Mungo’s sets the following default milestones (unless your welcome email states otherwise).
  12. Failure to meet any of the Fundraising standards & conduct standards may result losing your event place or opportunity to fundraise for St Mungo’s.

Failure to meet milestones. If you are behind schedule to achieve your planned fundraising pledge for your specific event, please contact St Mungo’s immediately so we can agree a plan. We reserve the right to withdraw a charity place where there is no reasonable prospect of meeting fundraising obligations.  

  1. Deferrals may be possible at our discretion and/or the organiser’s policy, but cannot be guaranteed. As standard we will refuse deferrals requested within two months of the race date. Registration fees are not refundable for any deferrals.  
  2. All deferral requests must be communicated in writing by emailing events@mungos.org and it will be at the discretion of St Mungo’s if you are successful as per our deferral policy. 
  3. All successful deferral applicants will not be refunded their Fee, however their fundraising can be transferred to their new event date. All deferral applicants will need to repay their Fee for their new event date. Please be aware the cost of the Fee may increase, and you are obliged to pay the updated Fee cost. 
  4. You will be able to carry over 100% of your fundraising into your deferred years target 
  5. If you do not participate or contact us regarding a deferral, sponsorship already raised will be treated as donations to St Mungo’s unless your donors request refunds by emailing events@mungos.org. (Anonymous donations cannot be returned.)  
  6. If an organiser cancels or alters the event, we will support you to consider transfer/deferral options where available, but St Mungo’s is not responsible for external event delivery.  
  7. If you have not completed the external event organiser’s registration (console) two weeks prior to the registration deadline date, St Mungo’s reserve the right to remove your charity place.  

Event photography may take place during this event. St Mungo’s may wish to use photographs or video footage of adult participants for future promotional and marketing materialsThis includes on St Mungo’s and third party websites, online and print media publications and other marketing materials. If you do not wish to be included in event photography, please speak to a member of the Events team on the day or email events@mungos.org 

  1. In law, you act as a trustee of the funds you raise. All donations must be passed to St Mungo’s promptly; if any portion covers event costs, you must make this clear to donors in advance.  
  2. Unless specified differently for your event, please send all funds to St Mungo’s within 4–6 weeks after event day (online fundraising platforms are encouraged).  
  3. Follow sensible cash handling practices; use locked tins/buckets, bank funds promptly, and put personal safety first.  
  1. You are responsible for training appropriately and for your own health and safety while training and on event day. Follow all official instructions. 
  2. Where you organise additional activities (e.g., music socials / mass participation events), ensure a basic risk assessment and appropriate first aid measures.  
  1. You acknowledge participation involves risk and agree that St Mungo’s is not liable for injury, loss or damage arising from your participation, except where the law does not permit such exclusion (e.g., negligence). External organisers are responsible for the delivery and safety of their events.  
  2. St Mungo’s insurance does not cover independently organised supporter activities; consider appropriate cover if your activities require it.
  1. St Mungo’s will contact you with essential event and fundraising information and, where necessary, sharing your name and email with the event organiser to complete your entry; data will be processed per our privacy policy.
  2. St Mungo’s will use the information provided by Participants to manage the Event and the Participant’s involvement in it. St Mungo’s will keep the Participant up to date with St Mungo’s activities or provide any other information in accordance with their stated preferences. 
  3. We will take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with ourprivacy notice. 

St Mungo’s is committed to legal, open, honest and respectful fundraising. Please contact us if you have concerns about conduct at events or by any third parties.  

By ticking “I agree” in a sign-up form for event fundraising, you confirm: 

  • I’m fundraising in aid of St Mungo’s and will act legally, safely and respectfully.  
  • I understand I take part at my own risk and that St Mungo’s is not liable for third-party event delivery.  
  • If I hold a charity place, I’ll meet the minimum sponsorship and the 25% / 50% / 100% milestones or will contact St Mungo’s early if I am unable to meet them as outlined.   
  • I consent to St Mungo’s sharing my contact details with the event organiser solely to administer my entry.
